Thank you for choosing to trust us with your property. Our team is committed to ensuring a smooth, compliant and efficient journey from initial onboarding through to tenant move-in and ongoing management. Below is an overview of the steps and information required to get started.

Our Onboarding Process

A step to step guide on our onboarding process

1. Instruction to Act

To formally appoint TAJ Real Estate, you will be asked to sign and return the Agency Agreement issued by your TAJ RE Associate.

This agreement:

- Confirms all pre-agreed commercial terms

- Authorises TAJ Real Estate to act on your behalf

- Allows us to begin marketing and compliance preparations

Once signed, your onboarding process officially begins.

2. Landlord Onboarding Form

You will be asked to complete our secure online onboarding form.

This form captures all essential information required to manage and market your property efficiently, including:

- Landlord details and correspondence preferences

- Property information

- Rental and tenancy preferences

- Bank details for rental payments

- Tax and compliance declarations (where applicable)

This information allows us to set your file up correctly from day one and avoid delays later in the process.

3. Verification & AML Checks

As part of our legal obligations under UK Anti-Money Laundering (AML) regulations, we are required to verify all landlords.

You will be asked to provide:

- Proof of identity

- Proof of address

Accepted documents and formats are outlined in our Required Documents Guide.

All information is handled securely and in line with data protection regulations.

4. Statutory Compliance & Safety Certificates

Before a property can be legally marketed or let, all required statutory documents must be in place.

These may include (but are not limited to):

Energy Performance Certificate (EPC)

Gas Safety Certificate (CP12), where applicable

Electrical Safety Report (EICR)

Any local licensing requirements

If any documents are missing, expired, or due for renewal, our team will:

Advise you clearly on what is required

Assist with arranging inspections where instructed

Our goal is to ensure your property is fully compliant before marketing begins

5. Property Access & Marketing Preparation

We will require access to the property to:

Familiarise ourselves with the layout and condition

Take or collect professional photographs

Confirm floor plans and property details

Prepare marketing materials

At this stage, we will also discuss:

Target rent and marketing strategy

Presentation recommendations to maximise interest.

6. Marketing & Viewings

Once compliance is confirmed and marketing is approved, your property will be launched across relevant platforms.

To manage viewings efficiently, we will require:

A full set of keys (or agreed access method)

Our team will:

Handle enquiries

Conduct accompanied viewings

7. Tenant Selection & Tenancy Agreement

Upon securing a suitable tenant, we will:

Present the offer and tenant details for your approval

Agree final tenancy terms

Carry out referencing and Right to Rent checks

Prepare the tenancy agreement for signature

We will guide you through each step to ensure everything is clear and compliant.

8. Completion of Onboarding & Account Setup

Once the tenancy is agreed and all steps are completed:

Your account will be set up on our management portals

All tenancy documents will be uploaded and accessible

If you have opted for:

Full Management – our tenancy management team will take over day-to-day management

Let-Only / Let Introduction – the full tenancy file will be handed over to you upon completion

Your onboarding is now complete, and your property is officially live under TAJ Real Estate..

Tenancy Agreements

& Deposit

We prepare compliant tenancy agreements and ensure deposits are properly registered.

Move-In &

Property Management

Final checks, inventory and key handover, followed by proactive management and tenant support.

The documents and information required are essential to ensure we can legally market and manage your property, verify ownership, meet statutory landlord obligations, protect both you and your tenants, and ensure your property fully complies with current UK legislation. To ensure compliance and a smooth start, please prepare the following before beginning the landlord onboarding process

- Proof of property ownership (Land Registry / mortgage statement)

- Overseas landlord? (NRL form required)

- Emergency contact

- Bank details for rental payments

- Smoke & CO alarm compliance

- Right to Let (freeholder consent if leasehold)

Marketing & Letting Preferences

- Service level (Let Only / Rent Collection / Full Management)
